What a Professional Flag Quotation Should Include: A Buyer’s Checklist

Whether you are ordering ten custom flags for a storefront or several thousand national flags for a distributor, the paperwork you receive before production starts decides how smooth the whole job will be. A vague one-line price can hide a lot: thinner fabric, a cheaper header, a missing Pantone match, or freight that appears later as a surprise. This checklist walks through what a complete flag quotation should contain, so you can compare suppliers on equal terms instead of on headline price alone.

1. Clear Product Identification

A usable quotation starts with a precise description of what is being priced. At minimum, you should see:

  • Flag type — national flag, custom printed flag, feather banner, beach flag, hand waver, table flag, or bunting.
  • Finished dimensions — width × height in your preferred unit, stated as the finished size after hemming, not the cut size.
  • Quantity — per size and per design, with any minimum order quantity noted openly.
  • Production method — screen printing, digital printing, or sewn construction for multi-piece flags.
  • Single-sided or double-sided — and if double-sided, whether a liner is used.

If any of these are missing, you are not comparing the same product across suppliers.

2. A Real Flag Price Breakdown

This is the heart of the document. A professional flag quotation separates the cost components rather than presenting one lump sum. A useful flag price breakdown typically includes:

  • Base material cost per unit, tied to the specific fabric weight and weave
  • Printing cost, including number of colors or print passes
  • Cutting and sewing labor per unit
  • Finishing hardware — header tape, grommets, rope, toggle, or sleeve
  • Artwork or file preparation charges, if any
  • Setup or screen charges, if any
  • Packaging cost, including individual poly bags or retail packaging
  • Inspection and handling

With this level of detail you can see where the money goes. You may find that upgrading to a heavier fabric adds a small amount per unit, while a change in finishing hardware adds nothing at all — information that never surfaces in a single-line quote.

3. Material and Construction Specifications

Fabric is the single largest driver of both cost and performance. The quotation should name the exact material, its weight per square meter or per yard, and the construction details:

  • Fabric name and weight (for example, 110 gsm knitted polyester or 160 gsm woven polyester)
  • Mesh versus solid fabric for windy locations
  • Hem width on the fly edge and the hoist edge
  • Header type: canvas heading with brass grommets, pole sleeve, or rope and toggle
  • Number and spacing of grommets
  • Reinforced corners or fly-end stitching, if requested

Ask the supplier to state these in writing. A quotation that simply says “polyester flag” tells you nothing about what will arrive at your dock.

4. Artwork and Color Specification

Anything related to your design should be documented so there is no disagreement later:

  • File format accepted (vector preferred, with raster requirements stated)
  • Color references — Pantone numbers, CMYK values, or thread colors
  • How many rounds of proofing are included
  • Whether a physical sample is available and at what cost
  • Who approves the final proof, and the deadline for that approval

Note that printers interpret color differently on fabric than on paper. If a precise brand color matters, confirm that the supplier will work from a Pantone reference and state that in the quote.

5. Delivery, Lead Time, and Incoterms

A price without logistics is incomplete. The quotation should clearly separate production time from transit time, and it should name the shipping term so both parties understand who pays for what and where risk transfers.

  • Production lead time in working days, counted from proof approval and deposit
  • Shipping method quoted — express courier, air freight, or sea freight
  • Incoterm (EXW, FOB, CIF, or DDP) and the named port or destination
  • Estimated transit time
  • Carton dimensions, units per carton, and total gross weight
  • Whether duties, taxes, and customs clearance are included or excluded

Ask for the total landed cost at your door, not just the unit price at the factory. That single figure is what your purchasing decision should be based on.

6. Payment Terms and Validity

Commercial terms belong in the quote, not in a separate email thread. Look for the deposit percentage and balance terms, accepted payment methods, currency, and any bank charges. The quotation should also carry a validity date — fabric and freight costs move, and an open-ended quote is not something either side can rely on.

7. Quality Checks and After-Sales Terms

Finally, confirm what happens if something goes wrong. A complete quotation states the inspection standard the order will be checked against, the packaging method, the process for reporting shortages or defects, and the window in which claims must be raised. It should also name a single contact person responsible for your order.

Quick Review Checklist

  • Product type, finished size, quantity, and print method specified
  • Itemized flag price breakdown, not a lump sum
  • Fabric name, weight, and full construction details
  • Color references, proofing rounds, and sample availability
  • Lead time split into production and transit
  • Incoterm, destination, and carton data
  • Payment terms, currency, and quote validity date
  • Inspection standard and claims procedure

Use this flag quote checklist before you sign off on any purchase order. A quotation that answers all eight points gives you a genuine basis for comparison; one that skips them is a placeholder, not an offer.
