Flag Export Packaging and Labeling: What Importers Should Specify

Flag Export Packaging and Labeling: What Importers Should SpecifyFlag Export Packaging and Labeling: What Importers Should Specify

Most sourcing problems with flags do not start in the sewing room — they start on the packing floor. A shipment can leave the factory in excellent condition and still arrive as a claims case because the polybags were too thin, the cartons were undersized, or the carton markings did not match the packing list. The fix is straightforward: put your packaging and labeling requirements in writing on the purchase order, before production begins.

This guide covers what importers and distributors should specify when ordering custom flags, national flags, and banner products from flags-factory.cn, and how to phrase those requirements so the factory and your receiving warehouse are working from the same document.

Why Packaging Specs Belong in the Purchase Order

Packaging instructions sent by email after the order is confirmed tend to get lost between departments. When the spec sits on the PO — with item numbers, quantities, and carton configurations — it becomes part of the production file that the packing team actually reads. It also gives you a reference point if you need to raise a question during pre-shipment inspection.

Treat flag export packaging as a line item, not an afterthought. Specify it the same way you specify fabric weight, finished size, and print method.

Inner Packaging: How the Flags Are Bundled

Inner packaging drives labor cost at your warehouse, so decide early whether you are buying bulk or retail-ready.

  • Bulk polybag: a stated quantity per bag (for example, 10 or 25 pieces), with a size or SKU sticker on the outside of each bag.
  • Single-piece polybag: one flag per bag, suitable for e-commerce and retail pick-and-pack. Specify bag thickness and whether a suffocation warning is required for the destination market.
  • Header card or hang tag: provide artwork, card size, and attachment point. Confirm whether the header is stapled, looped, or inserted.
  • Folded versus rolled: rolled flags suit large sizes and reduce creasing; folded flags stack more efficiently in cartons. State the preference per SKU.
  • Desiccant: for humid or long ocean routes, ask for desiccant sachets inside the polybag or a moisture-barrier liner in the master carton.

Master Carton Specifications

The master carton is where most damage claims originate. Give the factory a clear carton brief:

  • Carton style and board grade appropriate to the packed weight — double-wall corrugated is typical for heavier flag and banner cartons.
  • Maximum carton weight, aligned with your warehouse handling limits and any retailer requirements.
  • Carton dimensions, or a maximum dimension if you want the factory to optimize the pack.
  • Packing configuration: pieces per inner bag, inner bags per carton, and total pieces per carton.
  • Void fill or dividers so the contents do not shift in transit.
  • Palletization instructions if you are not floor-loading the container — pallet type, stack height, stretch wrap, and edge protection.

Flag Carton Marking: What Goes on the Outside

Clear flag carton marking saves time at every handoff — customs, freight forwarder, 3PL, and your own receiving dock. Ask for the marking to be printed directly on the carton or applied as a durable label, not handwritten on tape.

  • Purchase order number and carton sequence (for example, 3 of 12)
  • Item number or SKU, plus a short description and size
  • Quantity per carton, in pieces
  • Gross weight, net weight, and carton dimensions
  • Country of origin marking
  • Destination warehouse or DC code, if you use one
  • Standard handling symbols: this way up, keep dry, do not crush
  • Carton-level barcode — ITF-14 or SSCC — if your DC scans at receipt

Consistency matters more than formatting. If the carton marking says 48 pieces and the packing list says 50, you have created a receiving exception out of nothing.

Product Labeling Requirements

Labeling rules vary by market and by product type, so confirm the applicable requirements with your compliance advisor for each destination. As a baseline, US-bound textile flag products commonly need:

  • Country of origin — marked on the product or its retail packaging, and on the master carton.
  • Fiber content — for textile items, typically as a percentage by weight.
  • Care instructions — cleaning and handling guidance in a clear, permanent form.
  • Importer identity — business name or RN number where applicable.
  • Retail barcode — UPC-A or EAN-13 on a sticker or printed label, applied in a consistent position.

Send artwork files and placement instructions with the PO. If a label needs to be sewn in rather than applied as a sticker, say so explicitly — that changes the production routing.

Shipping Documents and Packing List Alignment

Flag shipping standards are only as good as the paperwork behind them. The packing list, commercial invoice, and carton markings should describe the same quantities, the same item numbers, and the same carton count. Ask for carton marking photos as part of pre-shipment inspection so you can confirm alignment before the container is sealed.

A Short Spec Checklist to Send With Your Order

  • Pieces per polybag, bag thickness, and sticker format
  • Header card or hang tag artwork and attachment method
  • Folded or rolled, per SKU
  • Pieces per carton, carton dimensions, and maximum carton weight
  • Full carton marking text, exactly as it should appear
  • Barcode type, size, and placement
  • Label artwork, material, and attachment method
  • Palletization and container loading notes
  • Photo documentation required before shipment

One page of clear instructions is usually enough. The goal is not complexity — it is a documented, repeatable flag export packaging standard that both the factory and your receiving team can check against on every order.
